Best Freediving Center Software in 2026

Most “best dive center software” lists only cover scuba shops. Freediving centers have different problems: multi-session courses, pool and depth blocks, small groups, and students who repeat and reschedule. This guide compares the options that actually fit a freediving center or school. We make Thalassa, so we’ve tried to be fair and have said where others are the better choice.

What to look for

Five questions to ask any freediving software

Before comparing features lists, check how each tool handles the parts of running a freediving center that are hardest to do by hand:

  • Multi-session courses: does it know a Level 1 course is several theory, pool and open water sessions, and track which ones each student has done?
  • Scheduling and staff: can it stop an instructor being on two sessions at once, and warn you about ratios?
  • Students: can it hold certifications from several agencies, medical notes and emergency contacts on one profile?
  • Money: does it show profit after salaries and costs, or only revenue?
  • Booking and payment: do you need students to book and pay online inside the tool, or do bookings mostly come through WhatsApp, Instagram and OTAs?

Operations & finance

Thalassa

Management software built inside freediving centers. Focused on course admin, instructor scheduling and knowing whether the center makes money.

  • Per-student session ledger for every course booking, including group bookings
  • Instructor double-booking blocked; ratio and location warnings
  • Student profiles with multi-agency certifications, medical notes, emergency contacts
  • Profit, margin, fill rate and break-even from salaries, fixed costs and expenses
  • No online student booking or payment processing yet
  • Founding price €500/year, unlimited staff and sessions, 5 spots

Best for: Centers with several instructors that want control of course admin and real profit numbers.

CRM & booking

Manage Freediving

A freediving-specific CRM and booking system for instructors and school owners.

  • Online course booking and full or partial payments with invoicing
  • Certification tracking across AIDA, SSI, PADI, Molchanovs and more
  • Resource scheduling for boats, gear and rooms
  • Revenue reports and instructor workload summaries
  • From $19/month (2 users, 20 events) to $399/month (unlimited); 14-day trial

Best for: Schools that want students to book and pay online, and are within the user and event limits of a plan.

Thalassa vs Manage Freediving

Instructor CRM

freedivestudio

A CRM for freediving instructors and small schools of up to about three instructors.

  • Scheduling and student progress tracking
  • Student portal for quotes, online payments and deposit plans
  • Digital waivers and medical forms with e-signatures
  • Equipment inventory and multi-agency certification tracking
  • €39/month billed annually for up to 3 instructors; 30-day trial

Best for: Solo instructors and very small schools that want waivers, payments and a student portal in one tool.

e.g. Dive Admin, ScubaCloud, DiversDesk

Scuba dive center software

Mature platforms built for scuba shops: fun dives, boat trips, equipment rental and retail.

  • Strong for boat trip manifests, gear rental and retail
  • Often include online booking and payments
  • Courses are usually modelled as single bookings, so multi-session freediving courses need workarounds

Best for: Centers where scuba is the main business and freediving is a side offer.

e.g. Checkfront, Bookeo, FareHarbor

Generic booking tools

Online booking and payment systems for tours and activities in general.

  • Good online booking pages and OTA connections
  • No concept of a course made of several sessions a student must complete
  • No student certification or medical profile, no instructor scheduling logic

Best for: Centers that mostly sell one-off experiences rather than courses.

The default

Spreadsheets + WhatsApp

Where most freediving centers start. Free and flexible, until the season gets busy.

  • No cost and nothing to learn
  • Breaks down with several instructors editing the same sheet
  • Session progress, balances and profit have to be rebuilt by hand

Best for: A single instructor with a few students a month.

Frequently asked questions

What is the best software for a freediving school?

It depends on what you need most. For online booking and payments, Manage Freediving or freedivestudio. For course admin, instructor scheduling and profit reporting, Thalassa.

Can I use scuba dive shop software for freediving?

You can, but most scuba software models a course as one booking. Freediving courses are several sessions per student, so you end up tracking progress outside the system.

Is there free freediving center software?

Spreadsheets and WhatsApp are free and work for a single instructor. Paid tools start around $19 a month.
