For freediving centers and schools
Freediving Center Management Software
Thalassa runs the day-to-day of a freediving center: course bookings, pool and depth sessions, students, instructors and payments. It also shows you, every day, whether the center is making money. It was built inside freediving centers, by people who run them.
Why generic tools break
A freediving course is not a single booking
Scuba software and booking widgets treat a sale as one slot on a calendar. A freediving course is several sessions across theory, pool and open water, and students miss one, repeat another and come back a week later. That is where spreadsheets fall apart.
A student paid for a Level 1 course. Did they do the second pool session or not?
Two students on the same course are at different stages and need different next sessions.
An instructor is on a depth session and in a pool block at the same time because the sheet was out of date.
A medical note from the intake form never reached the instructor on the buoy.
Busy season looks great, but nobody knows the margin after salaries, pool hire and boat fuel.
Courses and packages
Set up your courses once, with the sessions they include
Each course or experience you sell becomes a package: its price and currency, the certification agency and level, and the sessions it contains, such as two theory blocks, two pool sessions, two open water days and a debrief.
When you book a student onto a package, Thalassa gives that student a session ledger: exactly which sessions they are owed and which are done. Only sessions they actually attended count.
- Session types for theory, pool, open water and debrief
- Certification agency and level on each course package
- Courses, experiences, rentals and trips in one catalogue
- Prices in EUR, USD, IDR or MXN
Sessions
Schedule pool and depth sessions without double-booking anyone
Your dashboard lists every booking that still has sessions to schedule, so nothing slips through between the first message and the first pool session.
Schedule a session, add participants and assign a lead and assistant instructor. Thalassa blocks an instructor who is already on an overlapping session, and warns you when the student-to-instructor ratio goes above 4:1 or when another session is already booked at the same location.
- Unscheduled bookings surfaced on the dashboard
- Lead and assistant instructors per session
- Attendance per student: present, absent or late cancel
- Sessions completed and signed off by a named staff member
Students
Everything your instructors need to know about a student
Each student profile holds contact details, emergency contact, experience level, preferred language, medical notes and the certifications they already hold from any agency, with level and number.
Their full booking history sits on the same page, so a returning student who did Level 1 with you last year is easy to place on the right next course.
- Existing certifications: AIDA, Molchanovs, SSI, PADI or any other agency
- Medical notes and emergency contacts on the profile
- Booking history per student
Money
Know if the season is actually profitable
Record payments against each booking, including deposits and partial payments, and always see what is still outstanding. Add salaries, fixed costs like pool hire and rent, and costs per booking or per session like boat fuel.
The finance dashboard turns that into revenue, collected revenue, profit, profit margin, average booking value, session fill rate and a break-even tracker that tells you how many bookings a month cover your costs.
- Deposits, partial payments and balances per booking
- Salaries, fixed costs and per-session expenses
- Profit, margin, fill rate and break-even, by period
- Revenue by direct, OTA and partner channel
A real course, start to finish
How an AIDA 2 course runs in Thalassa
- 1
Booking
A student messages on WhatsApp. The desk books them on your AIDA 2 package, tags the channel as direct and records the deposit.
- 2
Ledger
Thalassa creates their session ledger from the package: theory, pool, open water and debrief sessions owed.
- 3
Scheduling
The booking shows up as unscheduled. The desk schedules the sessions and assigns instructors. Clashes are blocked.
- 4
Sessions
Instructors mark attendance. If the student misses a pool session, it stays owed, and they are simply added to the next one.
- 5
Close-out
The balance is paid, the last session is signed off, and the booking’s revenue and costs flow into your monthly profit.
Honest scope
What Thalassa is, and what it isn’t yet
Thalassa is the operations and finance system your team uses behind the scenes. Students don’t book or pay through Thalassa today; bookings from your website, WhatsApp, Instagram or OTAs are entered by your team and tagged by channel.
Issuing certifications and managing equipment inventory are next on the roadmap. Founding members get both, and every other new feature, at no extra cost.

Frequently asked questions
Is Thalassa made for freediving or for scuba?
Both, but it started in freediving centers. Multi-session courses, sessions owed per student and pool/depth scheduling are core to how it works, not add-ons.
Which certification agencies does it support?
Any. Course packages store the agency and level, and student profiles store existing certifications from AIDA, Molchanovs, SSI, PADI, Apnea Academy or any other agency.
Can students book and pay online?
Not yet. Thalassa is used by your team to manage bookings, sessions and money. Bookings from other channels are entered and tagged so revenue by channel is still tracked.
We run a small school with two instructors. Is it overkill?
No. The founding price has no per-instructor fee, and a small school benefits most from knowing exactly which sessions each student is owed and whether each month covers its costs.
Can I run a freediving school and a scuba center from one account?
Yes. One business can run multiple centers, each with its own team, schedule and numbers.
How long does setup take?
Most of setup is creating your course packages. We do it with you during onboarding, using your real courses and prices.
